A lease or consent form arrives with the request “please sign and return.” The old way: print, sign with a pen, scan, then send a crooked, faded file. The modern way takes one minute from your phone or computer.
Three ways to add your signature
- Draw: sign with your mouse or finger on a touchscreen.
- Type: type your name and choose a handwriting-style font.
- Image: sign on white paper, photograph it and upload the picture. Removing the background makes it look natural on the document.
Step by step
- Open the Sign PDF tool and choose your document.
- Create your signature using one of the methods above.
- Drag it onto the signature line and resize it to fit.
- Add the date or initials on other pages if required.
- Download the signed file and review it before sending.
A tip for a professional look
If you use an image, sign with a thick blue or black pen on white paper, then remove the background with the Remove Background tool and save it as a transparent PNG. You’ll get a clean, reusable signature.
Electronic or digital signature?
| Simple e-signature | Certificate-based digital signature | |
|---|---|---|
| What it is | An image or drawing of your signature | Cryptography tied to a digital ID certificate |
| Typical use | Everyday forms, approvals, simple agreements | Sensitive government and banking transactions |
| Tamper detection | Doesn’t reveal later edits | Reveals any change made after signing |
The legal weight of e-signatures varies by country and transaction type. For important contracts, check with the organization which kind of signature it accepts.
After signing
- To prevent accidental edits, lock the file with Protect PDF.
- If the document has fillable fields, complete them first with PDF Forms, then sign.
- Keep a copy of the signed file somewhere safe.
Bottom line
E-signing saves printing, scanning and time, and produces a cleaner document. Prepare a tidy signature once, use it for everyday forms, and use a certified digital signature when a transaction requires it.
